ASKANAITO.com is operated by Kaizen-JSB Ltd, a company registered in England and Wales (“Kaizen-JSB”, “we”, “us” or “our”).

We respect your privacy and are committed to protecting your personal information. This Privacy Policy explains what information we collect, how and why we use it, who we may share it with, how long we retain it, and the rights you have in relation to your personal information.

1. Who We Are

Kaizen-JSB Ltd
71–75 Shelton Street
Covent Garden
London WC2H 9JQ
United Kingdom

For privacy-related questions or requests, please contact:

aska@askanaito.com

Kaizen-JSB Ltd is the data controller responsible for personal information collected through ASKANAITO.com and in connection with the professional services described on this website.

2. Information We May Collect

Depending on how you interact with us, we may collect:

  • your name and contact details, including your email address and, where provided, your telephone number;
  • information you provide through our website contact form;
  • information you provide if you subscribe to email communications;
  • information you provide when scheduling an appointment or coaching session;
  • information relating to our professional relationship with you, including correspondence, scheduling information and coaching records;
  • payment and transaction information;
  • technical information relating to your use of our website, where collected through website functionality, analytics or cookies; and
  • any other information you choose to provide directly to us.

We aim to collect only information that is relevant and reasonably necessary for the purposes described in this policy.

3. How We Collect Information

We may collect personal information when you:

  • contact us through ASKANAITO.com;
  • subscribe to email communications;
  • correspond with us by email;
  • schedule an appointment through Acuity Scheduling;
  • engage us for coaching, facilitation, training or related professional services;
  • participate in a meeting or coaching session using Zoom, Microsoft Teams, Google Meet or another agreed platform;
  • make a payment; or
  • otherwise provide information to us directly.

Some technical information may also be collected automatically when you use our website, subject to applicable cookie and privacy requirements.

4. How and Why We Use Your Information

We use personal information for the following purposes and lawful bases:

Responding to enquiries and communications — where necessary to take steps at your request before entering into a contract, or where it is in our legitimate interests to respond to people who contact us about our work and services.

Providing and administering professional services — where necessary to perform a contract with you or take steps at your request before entering into one.

Scheduling appointments and consultations — where necessary to provide or arrange services you have requested.

Maintaining appropriate business and professional records — where necessary for our legitimate interests in operating and administering our business, or to comply with legal obligations.

Processing payments and maintaining financial records — where necessary to perform our contract with you and/or comply with legal, tax and accounting obligations.

Sending Notes & Reflections and other optional email communications — where you have given consent. You may withdraw that consent at any time.

Operating, securing and improving ASKANAITO.com — where necessary for our legitimate interests in operating and protecting our website and business, subject to applicable requirements concerning cookies and similar technologies.

Complying with legal and regulatory requirements — where processing is necessary to comply with a legal obligation.

5. Coaching and Client Information

If you engage us for coaching or other professional services, we may maintain information reasonably necessary to provide those services and administer our professional relationship with you.

This may include contact details, correspondence, appointment information and coaching notes or records.

Coaching notes may be maintained electronically using secure, password-protected devices and cloud-based services, including Apple/iCloud. Limited handwritten notes may also be maintained where appropriate.

Coaching information is treated confidentially and is not sold or used for unrelated marketing purposes.

Additional terms concerning confidentiality and the provision of coaching or other professional services may be contained in the agreement applicable to your engagement with us.

Session recordings

We do not routinely record coaching sessions unless there is a specific reason to do so.

Where a session is recorded for a defined professional purpose — for example, training, supervision, credentialing or assessment — appropriate permission will be obtained where required. Recordings will be retained only for as long as reasonably necessary for that purpose and then securely deleted unless there is a legitimate reason or legal requirement to retain them longer.

6. Scheduling, Video Conferencing and Payments

We currently use Acuity Scheduling to facilitate appointment scheduling. When you schedule an appointment, you may be asked to provide information such as your name, email address,

telephone number and information relevant to your appointment.

Professional services may be delivered through third-party video conferencing platforms including Zoom, Microsoft Teams and Google Meet. These providers may process information relating to your participation in meetings in accordance with their own privacy practices.

Payments may be made through Stripe, bank transfer or other direct payment methods made available to you.

Payment providers process certain payment information according to their own privacy and security practices. We do not need to receive or retain your complete payment-card details where those details are processed directly by the relevant payment provider.

7. Email Communications

If you choose to subscribe to Notes & Reflections or other optional email communications from Aska, we may use your name, email address and subscription preferences to send you occasional essays, reflections, updates and related communications.

You may subscribe through ASKANAITO.com or through another sign-up method made available by us from time to time.

We rely on your consent to send these communications. You can withdraw your consent at any time by using the unsubscribe link contained in the relevant email or by contacting us at aska@askanaito.com.

Withdrawing your consent will not affect any processing that took place lawfully before your consent was withdrawn.

We may use a third-party email service provider to manage and deliver these communications. Any such provider will process personal information on our behalf in accordance with applicable data protection requirements.

8. Website Analytics and Cookies

ASKANAITO.com is hosted using GoDaddy.

Our website may use cookies and similar technologies that are necessary for the website to operate. We may also use website analytics or other technologies to help us understand how visitors interact with the site and improve its performance.

Where required by applicable law, non-essential cookies or tracking technologies will be used only after visitors have been provided with appropriate information and choices.

This section will be updated when the website's final analytics, cookie and tracking configuration has been established.

9. Service Providers and Sharing Your Information

We use trusted third-party service providers to help operate our business and deliver our services.

Depending on the services you use and how you interact with us, these may include providers supporting:

  • website hosting;
  • cloud storage and device synchronisation;
  • email and communications;
  • appointment scheduling;
  • video conferencing;
  • payment processing; and
  • business administration

Current providers may include GoDaddy, Apple/iCloud, Google, Microsoft, Zoom, Acuity Scheduling and Stripe, together with any email service provider we use from time to time.

We may also disclose personal information where required by law, regulation, legal process or a competent authority.

We do not sell your personal information.

10. International Data Transfers

We work internationally and use technology providers that operate globally. As a result, personal information may sometimes be processed or accessed outside the United Kingdom.

Where UK data protection requirements governing international transfers apply, we take reasonable steps to ensure that an appropriate legal mechanism or safeguard is in place, such as applicable UK adequacy regulations or appropriate contractual safeguards.

You may contact us if you would like further information about how your personal information is protected in connection with international transfers.

11. How Long We Keep Information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal, regulatory, accounting or professional requirements.

Information relating to enquiries is retained for as long as reasonably necessary to respond to and follow up on the enquiry and, where appropriate, establish a professional relationship.

Information relating to clients and professional engagements may be retained for the duration of our relationship and thereafter for such period as reasonably necessary to meet professional,

legal, tax, accounting and insurance requirements or to establish, exercise or defend legal claims.

Information used to send Notes & Reflections or other optional email communications is retained until you unsubscribe or otherwise withdraw your consent. We may retain limited information where necessary to record and respect your communication preferences.

Other retention periods may depend on the nature and purpose of the information, applicable legal or regulatory requirements and whether continued retention is reasonably necessary for legitimate business purposes.

We periodically review the information we hold and delete or anonymise personal information that is no longer reasonably required.

12. How We Protect Your Information

We take reasonable organisational and technical measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or misuse.

These measures may include password-protected devices and accounts, appropriate access controls and the use of reputable technology and service providers.

However, no method of electronic storage or internet transmission can be guaranteed to be completely secure.

13. Your Data Protection Rights

Depending on the circumstances and the lawful basis on which we process your information, UK data protection law may give you rights including the right to:

  • request access to personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion of your personal information in certain circumstances;
  • request restriction of processing in certain circumstances;
  • object to certain uses of your personal information;
  • request transfer of certain information to you or another organisation; and
  • withdraw consent where we rely on consent to process your information

Some of these rights are subject to legal limitations and may not apply in every circumstance.

To exercise your rights or ask a question about information we hold about you, contact:

aska@askanaito.com

14. Complaints

If you have concerns about how we handle your personal information, please contact us first at aska@askanaito.com so that we can try to resolve the matter.

You also have the right to raise a concern with the Information Commissioner’s Office (ICO), the UK’s independent regulator for data protection.

Information about your rights and how to make a complaint is available through the Information Commissioner’s Office (ICO)  website.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, technology, legal requirements or business practices.

The current version will be published on ASKANAITO.com. The “Last updated” date at the top of this policy will indicate when it was most recently revised.
